Planning headshots for your team can be cumbersome—especially if you’re doing quite a few staff members (say more than 20). It can be a pain or it can run truly like a well oiled machine. We like to think that we can provide service like the latter.
Here’s how you can assist in making your team headshot photography session run super smooth.
First- use online scheduling. We can provide you with a custom link where we can have your staff schedule in short time increments—like every 5 to 8 minutes. Send the link to your staff and let them sign up at the best time slot for them. And don’t worry if you have a few staff that cannot make photo day. You can send them to the studio at their convenience—we’ll provide you with a link just for that.
Second—have the list of staff names and their emails to us in advance—especially important if they don’t use our online scheduling tool. If you can send us a .csv file with their Last Name_First name and email address we can import it into our software. Having this information allows us to provide each subject with their own private gallery for making selections. We can also provide a link to the master gallery to your office as well. The gallery is often available immediately after we photograph the subject.
If you aren’t able to provide a list in advance that’s okay—we have a method to have them sign up on the spot using a QR code.
Third-email the staff with a PDF that we will provide on what to wear for their headshot. We also have suggestions on what to bring (like combs or makeup for touchups). We’ll have a mirror, hair spray and some combs on hand just in case they’re needed.
